Everything you can do from your dashboard: manage the event, sell sponsorships, invite players, generate QR codes, and track every dollar.

Logging in

πŸ”‘ Forgot your password? On the sign-in page click Forgot password?, enter your email, and we'll send a reset link (works once, expires in 1 hour).

Your admin dashboard lives at:

Tip: Bookmark https://ballstriker.ca/admin. Once you log in, your dashboard is branded with your organization's name and colours.

The dashboard at a glance

When you log in you'll see all your events. Click one to open it and you get:

Editing your event

Click βš™ Edit event at the top of the event to change:

🏳️ Net scoring: set each golfer’s course handicap in the group roster (the small HCP box on each player). The clubhouse TV board switches to a Net column automatically.

Managing groups

In the Groups section: + Add group creates a foursome (name auto-fills, set starting hole & cart, optionally paste players). Each group has βš™ (rename / change starting hole / cart) and βœ• (delete). Add players one at a time, paste a list, rename, remove, or move between groups β€” all instant.

Orders

The Orders card lists every registration & sponsorship purchase β€” buyer, items, amount, and status (paid / comp / pending / failed), plus which processor took it. For offline payments (cheque, cash), find the pending order and click Mark comp to count it as paid; Void cancels a bad one.

Setting your course

On the Course card you have two buttons:

🏌️ Import course

Search our course directory by name (e.g. β€œWascana”), pick your course, then pick a tee set (Championship, Blue, White, Red…). Every hole's par and yardage fills in automatically. New organizers can also do this right in the sign-up wizard.

Edit holes

Fine-tune each hole's par, stroke index (SI 1–18), and yardage. The Auto SI by yardage button assigns stroke index by hole difficulty (longest = hardest) as a starting point. Stroke index is what powers net/handicap scoring.

πŸ“ On-course GPS distances are set separately with the tap-the-greens tool (the course directory doesn't include GPS). Any GPS pins you've dropped are kept when you re-import a course.

Managing packages & pricing

Your event ships with a proven sponsorship ladder, and you can change all of it yourself on the Packages & Pricing card:

+ Add package

Create any package β€” name, type, price, inventory limit, golfers included, hole number, whether it includes a team, and a list of perks.

Edit

Click Edit on any package to change the price, perks, inventory, or mark it active/inactive (inactive packages hide from your sign-up page).

Delete

Remove a package you don't need. If any have already sold, it's automatically hidden instead of deleted so your order history stays intact.

Managing sponsors

On the Sponsors card, anyone who buys a sponsorship online appears automatically (tagged paid online). Use + Add sponsor for the real-world cases:

Set each sponsor's tier and hole number, and edit or remove them anytime. Sponsors show on your leaderboard and hole signage.

POS & Shop (concessions + pro-shop)

BallStriker has a built-in point-of-sale so your beverage-cart and pro-shop volunteers can sell right from their phone β€” no separate system. On the POS & Shop card:

Load default catalog

One click loads the usual golf-tournament items β€” drinks, food, banquet tickets, wine, apparel, and golf gear (34 items, with GST/HST set sensibly). Edit prices or remove what you don’t sell.

+ Add item

Add anything else β€” name, category, price, tax rate, and an emoji for the button.

Staff sell from their phone

Any staff member with the Beverage/food POS role sees a Sell Food & Drinks tile. They tap items into a cart, take Cash, Card, or Comp, and every sale rolls into your revenue (shown right on this card, broken down by category).

πŸ’³ POS sales are offline-safe β€” if the beverage cart loses signal mid-round, sales queue and won’t double-charge when they sync.

Selling tickets (drink/food packs)

Sell prepaid ticket packs that land in the buyer's phone Wallet as scannable QR codes:

Each ticket becomes a QR in the guest's Wallet tab. Staff scan it to redeem β€” works on any phone.

Responsible alcohol service

Protect your event (and your license) with built-in drink limits. In βš™ Edit event β†’ Responsible service, set:

Mark which POS items and ticket packs are alcohol. When staff serve a beer or redeem an alcohol ticket, they attach it to a golfer (search the roster) or choose Walk-up. The system tracks each golfer's count all day:

πŸ›‘οΈ Set both to 0 to turn it off. Walk-up sales are still logged for your records but never hard-blocked β€” the flexibility to handle any situation, with a record of every override.

Adding staff & volunteers

On the Staff & volunteers card, click + Add staff to add anyone helping run the day. Give each person one or more jobs:

Click QR / link on any staff member to get their personal phone link β€” they scan it (no login, no app) and see tiles for exactly the jobs you gave them. One person can wear several hats, and if they're also golfing they can jump to their own scorecard from the same screen. Edit roles or remove staff anytime.

Adding golfers fast

Open any group in the Groups section and you can:

Inviting players & generating QR codes

Open your event β†’ Groups

You'll see each foursome/group in your tournament.

Click "Get QR / link"

A QR code appears for that group. Print it on the cart sign or scorecard.

Players scan & score

One scan opens their scorecard β€” no app, no login. One person per group usually does the scoring.

Watching the money & the leaderboard

Your dashboard shows revenue update as sign-ups and sponsorships come in. On play day, open the clubhouse TV board link on any big screen β€” it updates live as groups post scores, and shows your leaderboard sponsor's logo.

πŸ’š Optional give-back: Want your event to support a charity? Go to Settings β†’ Give-back, switch it on, and pick the percentage and the cause. It's off by default β€” completely your choice.

Frequently asked

Can I edit packages or prices?Yes β€” fully self-serve. Open your event, go to Packages & Pricing, and use + Add package or Edit on any row to change names, prices, perks, and inventory.
Can I set up my real course?Yes β€” on the Course card, click 🏌️ Import course to search the directory and auto-fill pars & yardages, or Edit holes to set par, stroke index, and yardage by hand.
Can I add a sponsor who paid by cheque?Yes β€” Sponsors β†’ + Add sponsor. Online purchases appear automatically; manual entries cover cheque, comped, and presenting sponsors.
How do people pay?Card or Apple Pay through our secure checkout. Funds settle to your account.
Can volunteers help without full admin access?Yes β€” add them on the Staff & volunteers card (see below). They get a phone link for just their job, no login.
